Shipping, Delivery & Claims Policy

OSHA Medical Training may ship training materials, compliance documents, manuals, certificates, binders, products, supplies, or other customer materials using third-party shipping carriers, including the United States Postal Service (USPS).

This Shipping, Delivery & Claims Policy explains customer responsibilities, shipping procedures, delivery confirmation, missing-package procedures, carrier claims, damaged shipments, and replacement or refund eligibility.

Shipping Carriers

OSHA Medical Training uses independent third-party carriers to transport and deliver customer shipments.

Our primary shipping carrier may include:

  • United States Postal Service (USPS)

  • Other commercial carriers when appropriate

The shipping carrier is an independent third party responsible for transportation and delivery after the shipment has been accepted into the carrier's network.

OSHA Medical Training does not control the carrier's transportation network, delivery personnel, delivery scans, delivery timing, routing, or final placement of a package after carrier acceptance.

Customer Shipping Address Responsibility

Customers are responsible for providing a complete and accurate shipping address.

This includes, where applicable:

  • Company name

  • Recipient name

  • Street address

  • Suite or unit number

  • City

  • State

  • ZIP Code

  • Any other information necessary for successful delivery

OSHA Medical Training will generally ship materials to the address provided by the customer at the time of purchase, invoicing, registration, or shipment authorization.

Customers should review shipping information carefully before the package is shipped.

OSHA Medical Training is not responsible for delivery problems caused by an inaccurate, incomplete, outdated, or improperly provided shipping address.

Address Changes

Customers should contact OSHA Medical Training immediately if a shipping address must be changed.

Once a package has been transferred to the shipping carrier, OSHA Medical Training may not be able to modify the delivery address.

Any additional shipping, redirection, return, or reshipment costs resulting from a customer-provided address error may be the responsibility of the customer.

Shipment Processing

Once payment and any required customer information have been received, OSHA Medical Training may prepare the applicable materials for shipment.

Preparation may include:

  • Customer-specific documentation

  • Training materials

  • Certificates

  • Compliance manuals

  • Binders

  • Printed forms

  • Products

  • Supplies

  • Packaging

  • Shipping labels

  • Postage

  • Insurance, when applicable

Processing and shipping times may vary depending on the service, product, customer information, carrier availability, holidays, and other circumstances.

Tracking Information

When tracking is available, OSHA Medical Training will maintain or provide the applicable carrier tracking number.

Carrier tracking information may show statuses such as:

  • Label Created

  • Accepted

  • In Transit

  • Out for Delivery

  • Delivered

  • Delivery Attempted

  • Available for Pickup

  • Returned to Sender

Carrier tracking records are an important part of determining the status of a shipment.

Customers are encouraged to monitor tracking information after receiving their tracking number.

Carrier Acceptance

Once a package has been accepted by USPS or another shipping carrier, transportation and delivery are controlled by that carrier.

OSHA Medical Training remains available to assist customers with reasonable shipping inquiries, but delivery delays or carrier operational issues may require investigation through the shipping carrier.

Delivery Confirmation

When carrier tracking records show that a package has been Delivered, OSHA Medical Training may rely on the carrier's delivery confirmation as evidence that the package reached the destination or carrier-designated delivery location.

Depending on the carrier and delivery location, a package may be recorded as delivered to:

  • A mailbox

  • Parcel locker

  • Front door

  • Reception area

  • Front desk

  • Mail room

  • Leasing office

  • Business receiving area

  • Authorized agent

  • Employee

  • Other carrier-designated location

A carrier's delivery confirmation does not necessarily mean the package was personally handed to the individual who placed the order.

Package Marked Delivered but Customer Cannot Locate It

If carrier tracking shows Delivered, but the customer reports that the package cannot be located, the customer should first check the entire delivery location.

Customers should check:

  • Mailboxes

  • Parcel lockers

  • Front desk

  • Reception area

  • Mail room

  • Building management

  • Employees

  • Coworkers

  • Office managers

  • Neighboring suites or businesses

  • Household members, where applicable

  • Other areas where the carrier commonly leaves packages

Customers should also confirm that the shipping address shown on their order or invoice was correct.

Delivered Package Reporting Period

Customers should notify OSHA Medical Training as soon as reasonably possible if a package is marked delivered but cannot be located.

We strongly recommend reporting a missing delivered shipment within seven (7) calendar days of the carrier's recorded delivery date.

Prompt notification gives OSHA Medical Training and the customer a better opportunity to investigate the delivery while carrier information and local delivery details may still be available.

A delayed report may reduce the ability to investigate or recover a shipment.

A Delivered Scan Does Not Automatically Create a Replacement or Refund

A customer statement that a package was not personally received does not automatically require OSHA Medical Training to issue an immediate refund or free replacement when carrier tracking shows that the package was delivered.

OSHA Medical Training may review:

  • Carrier tracking records

  • Shipping address

  • Mailing receipt

  • Shipping label

  • Delivery status

  • Customer report

  • Carrier investigation

  • Insurance eligibility

  • Other available shipping documentation

Replacement, refund, account credit, or other resolution may be determined after review of the available information and subject to applicable law.

USPS Missing Mail Procedures

If a USPS shipment appears lost or delayed, the shipment may be eligible for a USPS Missing Mail Search.

USPS currently directs customers to check tracking first and allows a Missing Mail Search request to be submitted beginning seven days after mailing.

The Missing Mail Search process may require information such as:

  • Sender address

  • Recipient address

  • Tracking number

  • Mailing date

  • Package type

  • Description of contents

  • Photographs or other identifying information

OSHA Medical Training may assist with the carrier process when appropriate.

Insurance Claims

Certain shipments may include shipping insurance either automatically through the selected mailing service or through separately purchased insurance.

USPS states that either the sender or recipient may file an eligible insurance claim for insured mail that is lost, damaged, or missing contents, subject to USPS requirements.

Insurance eligibility and reimbursement are determined by the carrier, not OSHA Medical Training.

Carrier claims may require:

  • Tracking number

  • Mailing receipt

  • Proof of postage

  • Proof of insurance

  • Proof of item value

  • Purchase or invoice records

  • Photographs

  • Packaging

  • Damaged items

  • Other documentation requested by the carrier

USPS filing periods vary by mail service. Damaged shipments or shipments with missing contents may generally be claimed immediately, but USPS currently requires those claims to be filed no later than 60 days after mailing.

Insurance Is Not a Guarantee of Reimbursement

Purchase or inclusion of shipping insurance does not guarantee that a carrier claim will be approved.

The carrier independently determines whether a claim is:

  • Approved

  • Partially approved

  • Denied

  • Subject to additional documentation

  • Subject to inspection

  • Subject to appeal

OSHA Medical Training does not control the carrier's claim decision.

Lost in Transit

A shipment is generally treated differently when tracking does not show successful delivery and the carrier determines that the package has been lost in transit.

If a package appears lost before delivery, OSHA Medical Training may:

  • Review tracking

  • Contact the carrier

  • Initiate or assist with a Missing Mail Search

  • File an insurance claim when eligible

  • Request additional information from the customer

  • Determine whether replacement, refund, or account credit is appropriate

Resolution may depend on the results of the carrier investigation and insurance process.

Damaged Packages

Customers should inspect packages and contents promptly after delivery.

If an item arrives damaged, the customer should contact OSHA Medical Training as soon as reasonably possible.

Customers may be asked to provide:

  • Photos of the shipping box or envelope

  • Photos of the shipping label

  • Photos of the damaged item

  • Photos of internal packaging

  • Description of the damage

  • Tracking number

  • Other carrier-requested information

Preserve Packaging and Damaged Items

Customers should not discard the shipping container, packing materials, damaged product, or other shipment contents while a carrier claim is pending.

USPS advises claimants to preserve evidence and notes that the entire package may be required for inspection.

Destroying or discarding evidence may affect carrier claim eligibility.

Missing Contents

If a package arrives but part of the shipment is missing, customers should notify OSHA Medical Training promptly.

The customer may be required to provide:

  • Photographs of the package

  • Photographs of the contents received

  • Shipping label information

  • Description of missing materials

  • Packaging condition

  • Other documentation needed for a carrier claim

Missing-content claims may also be subject to applicable carrier insurance requirements and filing periods.

Returned-to-Sender Shipments

Packages may be returned to OSHA Medical Training because of circumstances including:

  • Incorrect address

  • Incomplete address

  • Missing suite number

  • Customer moved

  • Delivery refusal

  • Package not claimed

  • Carrier inability to complete delivery

  • Other address or delivery problems

If a package is returned because of information provided by the customer or because the customer failed to accept or retrieve the shipment, additional shipping charges may be required before the package is shipped again.

Reshipping Costs

When a reshipment is necessary because of a customer address error, failure to claim a package, refusal of delivery, or other circumstance outside OSHA Medical Training's control, the customer may be responsible for:

  • New postage

  • Shipping insurance

  • Packaging costs

  • Replacement-material costs, where applicable

OSHA Medical Training will inform the customer of applicable charges before reshipping whenever reasonably possible.

Replacement Shipments

A replacement shipment is not automatically guaranteed whenever a customer reports a shipping problem.

OSHA Medical Training may determine whether a replacement is appropriate after reviewing:

  • Tracking records

  • Delivery confirmation

  • Customer-provided information

  • Carrier findings

  • Insurance coverage

  • Claim status

  • Value of the shipment

  • Circumstances of the reported loss or damage

A replacement may be provided when appropriate, but OSHA Medical Training reserves the right to complete a reasonable investigation before issuing a replacement.

Refunds for Shipping Claims

Shipping-related refunds are evaluated separately from appointment cancellation or service refunds.

A missing, delayed, damaged, or disputed shipment does not automatically entitle the customer to a full refund of unrelated services already performed or provided.

Any refund related specifically to a shipped item will be evaluated based on:

  • Shipment status

  • Carrier records

  • Product value

  • Insurance recovery

  • Replacement availability

  • Applicable law

Carrier Delays

Estimated delivery dates provided by USPS or another carrier are generally estimates unless the specific shipping service provides a carrier-backed delivery guarantee.

OSHA Medical Training is not responsible for ordinary carrier delays caused by circumstances such as:

  • Weather

  • Transportation disruptions

  • Holiday volume

  • Carrier staffing

  • Routing delays

  • Government emergencies

  • Natural disasters

  • Incorrect sorting

  • Other carrier operational issues

OSHA Medical Training will make reasonable efforts to assist customers when a shipment is significantly delayed.

High-Value Shipments

OSHA Medical Training may use additional shipping protections for higher-value shipments when appropriate.

These may include:

  • Insurance

  • Signature confirmation

  • Adult or authorized signature services where applicable

  • Tracking

  • Other carrier delivery services

The availability and cost of these services may vary.

Signature Delivery

If a shipment is sent using a signature service, the carrier's signature or delivery record may be used as evidence of delivery.

The individual accepting delivery may not necessarily be the person who originally placed the order if another person at the business or delivery location is authorized or permitted to accept packages.

Business Delivery Locations

Many OSHA Medical Training customers are medical offices, dental offices, healthcare facilities, businesses, and professional practices.

When a shipment is sent to a business address, delivery to the business's:

  • Receptionist

  • Front desk

  • Office manager

  • Employee

  • Mail room

  • Receiving department

  • Building receiving area

  • Other authorized business representative

may constitute delivery to the customer's designated address.

Customers are responsible for maintaining appropriate internal procedures for receiving and distributing packages after delivery.

Theft or Loss After Confirmed Delivery

If a carrier confirms successful delivery and the package is subsequently lost, misplaced, stolen, or removed from the delivery location, the matter may fall outside the carrier's transportation process.

OSHA Medical Training may assist the customer in reviewing available carrier information; however, a package lost or stolen after confirmed delivery does not automatically create an obligation for OSHA Medical Training to provide a free replacement or refund.

Applicable law will control where required.

Fraudulent or Inaccurate Claims

Customers must provide truthful and accurate information when reporting a missing, damaged, or undelivered shipment.

OSHA Medical Training reserves the right to deny a discretionary replacement, refund, or credit when available evidence reasonably indicates that:

  • The shipment was successfully delivered

  • The claim contains materially inaccurate information

  • The customer has failed to reasonably cooperate with the investigation

  • Required carrier documentation has not been provided

  • The claim conflicts with verified shipping records

Nothing in this section limits rights that cannot legally be waived.

Customer Cooperation

Customers requesting assistance with a shipping claim may be required to cooperate with reasonable investigation procedures.

This may include:

  • Confirming the shipping address

  • Checking the delivery location

  • Contacting the local carrier office

  • Providing photographs

  • Providing statements or documentation

  • Retaining packaging

  • Participating in the carrier claims process

  • Providing other reasonably necessary information

Failure to reasonably cooperate may limit OSHA Medical Training's ability to investigate or resolve the claim.

Carrier Claim Payments

If an insurance claim is filed, any reimbursement is subject to carrier approval.

USPS may approve a claim in full, approve only part of the claim, or deny it. USPS also provides an appeal process for certain denied or partially approved claims.

The amount paid by the carrier may also be limited to the covered or documented value of the shipment.

OSHA Medical Training's Responsibility

OSHA Medical Training's shipping responsibilities generally include:

  • Preparing the shipment appropriately

  • Using the customer-provided shipping address

  • Purchasing the applicable postage

  • Providing tracking when available

  • Purchasing insurance when included or selected

  • Maintaining reasonable shipping documentation

  • Cooperating reasonably with appropriate carrier investigations

Once a shipment enters the carrier's network, transportation and delivery are performed by the independent carrier.

Customer's Responsibility

The customer's responsibilities include:

  • Providing an accurate shipping address

  • Monitoring tracking

  • Maintaining a secure delivery location

  • Checking with staff or other individuals who may accept deliveries

  • Promptly reporting problems

  • Preserving damaged items and packaging

  • Cooperating with reasonable investigation procedures

Questions or Shipping Claims

Customers who believe that a shipment has been lost, damaged, misdelivered, or is missing contents should contact OSHA Medical Training as soon as possible.

Please provide:

  • Company name

  • Customer name

  • Shipping address

  • Invoice number, if available

  • Tracking number, if available

  • Description of the problem

  • Photographs, when applicable

Policy Acknowledgment

By purchasing products, materials, documentation, or other items that require shipment from OSHA Medical Training, the customer acknowledges that the shipment may be transported through an independent third-party carrier.

The customer acknowledges that carrier tracking, delivery confirmation, insurance procedures, carrier investigations, and claims decisions may be used when determining the appropriate resolution of a shipping dispute.

Replacement, refund, or account credit is not automatically guaranteed solely because a customer reports that a package cannot be located after the carrier records the shipment as delivered.

OSHA Medical Training will review shipping disputes reasonably and in accordance with this policy and applicable law.

Where applicable federal, state, or local law provides rights that conflict with this policy, the applicable legal requirement will control.
