Appointment & Payment Policy

At OSHA Medical Training, each paid appointment represents a dedicated commitment of trainer time, scheduling resources, preparation, administrative support, and company materials.

This Appointment & Payment Policy explains how appointments are confirmed, how payments are applied, and what happens when a paid appointment is canceled, rescheduled, or missed.

Payment Confirms Your Appointment

Payment of your invoice confirms and reserves your scheduled training appointment.

Once payment is received, OSHA Medical Training reserves the scheduled date and time for your company and commits the appropriate trainer availability, scheduling resources, administrative support, and preparation resources to your appointment.

No additional confirmation is required.

OSHA Medical Training may contact your office before the appointment by telephone, email, or text message as a courtesy reminder.

A courtesy reminder does not determine whether an appointment is confirmed.

Once the invoice has been paid, the appointment is considered confirmed and remains the responsibility of the customer.

$150 Reservation & Preparation Fee

Once an invoice is paid, $150 of the total payment becomes a non-refundable Reservation & Preparation Fee.

This is not an additional charge added to your invoice. It is a portion of the total service amount already paid.

The Reservation & Preparation Fee helps cover resources committed to your company before the scheduled training takes place, including:

  • Reserving your training date and time

  • Reserving trainer capacity and availability

  • Scheduling and administrative processing

  • Appointment coordination

  • Customer-specific training preparation

  • Preparation of training materials and documentation

  • Pre-service account and client setup

  • Operational preparation for the scheduled service

  • Loss of availability to accept another customer during the reserved appointment period

Because these resources are committed once payment is received, the $150 Reservation & Preparation Fee is earned and non-refundable once the invoice is paid, except where otherwise required by applicable law.

Cancellation Policy

A cancellation occurs when a customer decides not to proceed with a paid and confirmed appointment.

The original $150 Reservation & Preparation Fee remains non-refundable because the scheduled appointment, trainer capacity, administrative resources, and preparation resources were already reserved for the customer.

Additional amounts may become non-refundable when a cancellation occurs closer to the scheduled appointment.

Cancellation Schedule

7 or more days before the appointment:
$150 minimum retained.

3–6 days before the appointment:
50% of the total invoice amount retained, with a minimum retention of $150.

Less than 72 hours before the appointment:
75% of the total invoice amount retained.

Same-day cancellation:
100% of the total invoice amount retained.

No-show:
100% of the total invoice amount retained.

The applicable cancellation amount includes the original $150 Reservation & Preparation Fee and is not charged in addition to it.

Refund Policy

Refund eligibility is determined according to the Cancellation Policy and the amount of notice provided by the customer.

The applicable non-refundable amount will be retained first. Any remaining eligible balance may then be returned to the original payment method.

A paid appointment is not automatically eligible for a full refund simply because the training service has not yet occurred.

Payment reserves company resources, trainer availability, scheduling capacity, and preparation resources before the appointment date.

Where a refund is approved, processing times may vary depending on the original payment method and financial institution.

Any refund required by applicable law will be honored.

Rescheduling Policy

We understand that schedules occasionally change.

Customers may request to move an existing appointment rather than cancel the service entirely.

All rescheduling requests are subject to trainer availability and scheduling availability.

7 or More Days Before the Appointment

One rescheduling request may be permitted without an additional Reservation & Preparation Fee.

The customer's existing payment will be transferred to the newly scheduled appointment, subject to availability.

Any future cancellation of the rescheduled appointment remains subject to this Appointment & Payment Policy.

Less Than 7 Days Before the Appointment

Because the original trainer capacity, appointment time, and preparation resources have already been reserved, the original $150 Reservation & Preparation Fee remains earned and non-refundable.

A new $150 Reservation & Preparation Fee may be required to reserve the replacement appointment.

Additional rescheduling requests may also require a new Reservation & Preparation Fee.

All rescheduled appointments remain subject to trainer and scheduling availability.

Same-Day Cancellation & No-Show Policy

Same-day cancellations and no-shows are 100% non-refundable.

A no-show may include situations where OSHA Medical Training is prepared and available to perform the scheduled service but:

  • The customer is unavailable

  • The facility cannot provide access

  • The customer refuses the scheduled service

  • The office is not prepared for the training

  • Required staff are unavailable

  • The customer cancels on the scheduled service date

  • The customer otherwise fails to participate in the confirmed appointment

If OSHA Medical Training has arrived at or traveled to the scheduled service location and the appointment cannot be completed because of circumstances under the customer's control, the appointment may be treated as a same-day cancellation or no-show.

A new appointment may require a new payment before another training date can be reserved.

Customer Readiness

Customers are responsible for ensuring that their office, facility, staff, and designated representatives are prepared for the scheduled appointment.

This may include, where applicable:

  • Providing access to the facility

  • Having the appropriate employees available

  • Providing accurate company and employee information

  • Making appropriate training space available

  • Having an authorized representative available when necessary

  • Completing requested information before the appointment

Failure to properly prepare for a confirmed appointment may result in delay, inability to complete the service, or treatment of the appointment as a same-day cancellation or no-show when OSHA Medical Training is otherwise ready and available to perform the service.

Late Arrival or Delayed Access

Customers should make reasonable efforts to ensure that OSHA Medical Training can begin the scheduled service at the agreed appointment time.

Significant delays caused by the customer, unavailable staff, restricted facility access, or other customer-controlled circumstances may reduce the amount of time available to perform the scheduled service.

OSHA Medical Training will make reasonable efforts to accommodate minor delays when scheduling permits.

However, significant delays that prevent the scheduled service from being reasonably completed may be treated as a same-day cancellation or no-show.

Returned Payments

A $25 Returned Payment Fee may be assessed for a returned check, rejected payment, reversed payment, or other failed payment where permitted by applicable law.

Any outstanding balance and applicable returned-payment fee must be resolved before additional services or appointments are provided.

OSHA Medical Training may also suspend future scheduling privileges until outstanding balances are resolved.

Any unpaid balance associated with prior services may be required to be paid before OSHA Medical Training schedules or provides additional services.

OSHA Medical Training reserves the right to decline or postpone additional appointments when an account has an unresolved outstanding balance.

Courtesy Appointment Reminders

OSHA Medical Training may provide reminder calls, emails, or text messages before a scheduled appointment as a customer service courtesy.

These reminders are not required to maintain the appointment.

Payment of the invoice is the customer's confirmation of the scheduled appointment.

Failure to receive a reminder does not cancel, postpone, reschedule, or otherwise modify a paid appointment.

Customers remain responsible for maintaining their own record of the scheduled appointment date and time.

Customer Contact Information

Customers are responsible for providing accurate and current contact information.

This may include:

  • Business name

  • Contact person's name

  • Telephone number

  • Mobile number

  • Email address

  • Service location

  • Billing information

Customers should notify OSHA Medical Training promptly if their contact information changes.

OSHA Medical Training is not responsible for missed communications resulting from inaccurate, outdated, blocked, filtered, or incorrectly provided customer contact information.

Changes Requested by the Customer

Requests to change the service location, company information, training requirements, number of participants, appointment time, or other material details may require additional administrative processing.

Material changes may also affect scheduling availability, service pricing, preparation requirements, or the ability to perform the service as originally scheduled.

Where appropriate, OSHA Medical Training may require an updated invoice or additional payment before completing the requested change.

Circumstances Outside OSHA Medical Training's Control

Occasionally, circumstances outside OSHA Medical Training's reasonable control may require an appointment to be delayed, rescheduled, or modified.

Examples may include severe weather, emergencies, illness, transportation interruptions, facility closures, government restrictions, or other unexpected events.

When OSHA Medical Training must reschedule an appointment because of circumstances affecting our ability to provide the service, we will make reasonable efforts to provide an alternative appointment date.

A customer will not be charged a new Reservation & Preparation Fee solely because OSHA Medical Training requires the appointment to be rescheduled.

Questions About Your Appointment

If your office needs to cancel, reschedule, or make a significant change to an appointment, please contact OSHA Medical Training as soon as possible.

Providing advance notice gives our scheduling team the greatest opportunity to accommodate your request and make the reserved appointment time available to another customer.

Policy Acknowledgment

By submitting payment for an OSHA Medical Training invoice, the customer acknowledges and agrees to the applicable Appointment & Payment Policy associated with the scheduled service.

The customer acknowledges that payment reserves trainer capacity, appointment time, administrative resources, preparation resources, and other company resources before the scheduled service occurs.

The customer further acknowledges that the $150 Reservation & Preparation Fee becomes earned and non-refundable upon payment, subject to applicable law.

These policies are subject to applicable federal, state, and local law.

Where applicable law provides a cancellation, refund, or other customer right that conflicts with this policy, the applicable legal requirement will control.
